Show Terms & Conditions (please read the following in its entirety):
Please review this list in its entirety. We have implemented these terms and conditions for a reason. For each item listed, we have either run into issues with these items ourselves that required a change resulting in the new term and condition listed below, or we have witnessed issues encountered by other shows around one of or more of these conditions. These terms and conditions will be strictly enforced. Our number one priority is to ensure everyone's safety (and vehicle safety) while at the show. We also pride ourselves in the integrity of this show and we plan to keep it that way. If you cannot abide by these terms and conditions, please do not submit a registration form. Again, please read through each of these conditions thoroughly.

REGISTRATION:
All Participants must be 18 years of age or older and hold a valid driver's license and automobile insurance. If you are under the age of 18, you must have a guardian in attendance that can sign this registration.
Participants registration number must be displayed on the show vehicle (driver’s side front window). Your registration number will be provided to you at the time of check-in. We will no longer release registration numbers for pre-registered vehicles in advance of the show.
If you pre-registered, and there is a change with your initial registration involving a vehicle change or you want to transfer your registration to someone else, we are no longer able to change your materials and absorb the associated cost by doing so. What we will do is update your preprinted windshield placard, the other prepared documents will remain unchanged. To make a change, you must email the show coordinator with your name, email, phone number, and original vehicle entered along with the change or the person to whom you want to transfer it to. These requests must be received prior to July 1st. When you arrive for the show, the new placard will not be in your goody bag. When you check-in you need to inform registration that you had a vehicle change and they will be able to provide you your new windshield placard. Email changes to CoatesvilleCarShow@gmail.com with the new vehicle information as noted above.
Refunds are on a case-by-case basis and for reasons that are deemed out of your control. These must be approved by the show coordinator and must be requested no later than one week before the show.
SHOW ARRIVAL:
Please arrive using the one of the two required entry points. If you attempt to arrive via any other streets, you will find them closed off and will need to backtrack to one of the following routes. Those access points are as follows:
1) The first entry point is located at Hadley and Milton Street. If arriving using State Road 75 (recommended route), use Hadley Street that runs
west from the north side of the First National Bank and proceed to the first entry point. If arriving using Country Road 800 West, continue
south to the first entry point.
2) If arriving from Putnam County using County Road 200 North, continue east to the second entry point at Main and Hadley. In the event that area
has been filled, you will be redirected to Hadley and Milton Street to the first entry point.
All other streets into the event will be closed off.
Anyone caught going around or removing the "Street Closed - No Show Access" barrier will not be allowed into the event. Road Closed means just that, the road is closed to access. Removing or going around these barriers could cause an accident and could result in potential damage to show cars if other drivers view the road as being open due to moved barriers. Ignoring these signs could also result in potential damage to your show vehicle should you proceed around on of these barriers. These barriers are there for a reason and we will not tolerate this action.
PARKING:
We no longer offer reserved parking, it was eliminated following the 2025 show. The only exception is for those with handicapped limitations or for an "Official Show" financial sponsor. There are no exceptions to this. Those with handicapped limitations must contact the show coordinator in advance to discuss your needs.
If you want to park together, you must arrive together. There is no saving of spots. Please caravan in together or use the First National Bank parking lot one block from the show site as a meet-up location.
Parking will be on a first-come, first-served basis. We will allow you to park where you want to, but as noted above you cannot save a space for others.
You cannot take more than one reasonable parking space for your vehicle. If you do, one of our parking monitors will ask you to move your vehicle over. If you do not comply or refuse to comply and the police have to be summoned, you will be asked to leave the show.
Canopies are allowed where space is available, but only if no wind is present. If any wind is present at all, the participant is not allowed to erect any structure at all. If no wind is present, participant is free to erect a canopy or covering as long as they have stakes or weights of some kind for the legs of the structure. You cannot use a vehicle space or the street to erect a canopy. If erecting a canopy, there must be space behind your vehicle (a lot or alley) or you must elect to park in the library grass where you may place a canopy beside or behind your vehicle.
PARTICIPANT VOTING:
We have had an existing policy for years about voting, not voting for your own vehicle, and straight club voting. If we see a violation of these rules, we reserve the right to cap the awards for any one club or group that violates these rules allowing no more than 25 to 30% of a club or group receiving an award, or eliminating them from receiving an award all together. Such situations are a group's action at an attempt to sweep the awards for their group and/or improve their chances for an award. We view this as unfair play and a lack of integrity on the part of any club or group that attempts this. If we determine there was intent by any group as a whole to do so, that group will be excluded from the voting process and will not receive an award. We do take this seriously and want the winners to be honored that they received an award under fair conditions.
GENERAL:
Only those that pre-register for the show will receive a Complete Goody Bag (typically about 150 pre-registered). Those that register the day of the show will receive a bag with the necessary items for the show along with a few other items, but it will not be a full fledged goody bag like the pre-registered folks will receive.
Participants are not allowed to start their vehicles during the show once they have been parked, unless departing.
Participants are responsible for ensuring their area is clean prior to leaving at the end of the show.
Participant understands that some items like t-shirts, dash plaques, and other items are date specific based on the registration date or registration count and acknowledge that they understand some of these items may no longer be available at the time they register. T-shirts and dash plaques are only available for the first 100 registered vehicles.
No alcohol, open container, or any other illegal substance is allowed or permitted anywhere in the show area. If caught with any alcohol or illegal substance, you will be permanently banned from the show.
No open flame like a grill is allowed anywhere at the event other that those be operated by the event staff.
We have Unsportsmanlike Conduct Regulations against excessive noise (loud music), reckless behavior, profanity, illicit material, or any disruptive behavior which will be enforced resulting in your removal from the show. This includes any rude or aggressive treatment towards any show volunteer, sponsor, or any other show participant or visitor.
Relating to the above, if any action results in a physical altercation, you will be permanently banned from the show and could face potential legal charges and/or arrest.
You can list your car for sale at the show, but you are not allowed to display any visible "For Sale" signs on your windows or windshield. Any "For Sale" sign can be placed on the seats inside the vehicle.
No burnouts coming into the show, at the show, or leaving the show. This is deemed as reckless endangerment given the volume of cars we have in town. Any one caught will be cited as such and can deal with it in a court of law. It will not be tolerated. We may not catch you at the show, but there are cameras and license plate readers all over town, so you can expect to receive one via certified mail.
Under no circumstance are bicycles, scooters, mopeds, skateboards, unicycles, or any other type of propelled vehicle allowed in the show area. This includes manually operated, gas-operated, and electric-operated vehicles. Golf carts are only permitted for those with physical limitations that are unable to move about the show, plus the driver must be of legal age. The only exception to this is law enforcement operated golf carts and/or vehicles.
No drones are allowed to be flown at the show even if you have a license to do so. The only drones allowed is one that is professionally hired by the show to cover that show and covered under the events insurance policy.
TERMS AND CONDITIONS ACCEPTANCE:
By signing a registration form and associated waiver, the entrant/participant agrees to hold harmless the Town of Coatesville and its affiliates including the Coatesville Volunteer Fire Department, Coatesville Police Department, local businesses, and show volunteers. The entrant/participant also agrees to release and discharge the organizers, sponsors, and venue from liability for injuries, damages, or losses sustained during the event or traveling to/from the event. Entrant/participant acknowledges and accepts the risks associated with participating in this event and accepts all of the terms and conditions listed above.
In the unlikely event that any FAQ contradicts anything listed above, these Terms & Conditions take precedence. We recommend you review our FAQ Page for any questions you have. Only contact the show coordinator if you have a question that is not covered in the FAQs.
